Customs documents

Customs documents handled for you

Shipping outside the EU means paperwork. We automatically generate the proforma invoice, the customs clearance authorisation and the CN23 declaration so your parcel clears customs smoothly.

When does a shipment need customs documents?

Every shipment that leaves the European Union customs territory needs customs documents. That includes non-EU countries such as the USA, the UK, Switzerland or Mexico, and also the Canary Islands, Ceuta and Melilla, which are part of Spain but have their own customs regime.

When you request a shipment, you declare what you are sending: description, units, unit value and country of manufacture of each item. With that information we generate your signed proforma (customs) invoice, the customs clearance authorisation so the carrier can clear customs on your behalf, and the CN23 declaration. Your LocalHub prints them and attaches them to the parcel.

Before shipping, your LocalHub checks that the contents match your declaration. Import duties and taxes at destination are paid by the recipient; you can estimate the shipping cost in advance, while duties depend on each country.

Customs documents FAQ

Do I need customs documents to ship within the EU?

No, except to the Canary Islands, Ceuta and Melilla. Shipments to other EU countries travel without customs declaration.

Who pays import duties and taxes?

The recipient pays the duties and taxes charged by the destination country. They are not included in the shipping price.

Can I correct the proforma invoice?

Yes. You can review and correct it from your dashboard until the shipment leaves; every change creates a new signed version.

What happens if my document is rejected?

We tell you the reason (glare, blurry text, cropped or expired document) and you upload a new clear copy.

How many invoices can I upload per shipment?

Up to 5 invoices or receipts for a single parcel. For a consolidated parcel you can add 1 more for each additional parcel it contains, up to a maximum of 10 (e.g. 3 parcels: 7 invoices). If you have more, merge several PDFs into one file with a free tool such as iLovePDF (ilovepdf.com/merge_pdf).
